Nova X Pod Foundations Terms of Engagement

Thank you for choosing Nova X Solutions for your Pod Foundations package. These Terms of Engagement outline the working relationship between Nova X Solutions ("Nova X", "we", "our") and the client ("you", "your").

By engaging our services or submitting a Pod Foundations Brief, you acknowledge that you have read, understood and agree to the following terms.

1. Service Overview

The Pod Foundations package is designed to professionally prepare your podcast for launch across major podcast platforms.

The package includes:

  • Complimentary 30-minute onboarding consultation.
  • Podcast planning and launch briefing.
  • Spotify for Creators account setup (where required).
  • RSS feed configuration.
  • Submission and setup for Apple Podcasts.
  • YouTube podcast configuration (where applicable).
  • Podcast profile setup and optimisation.
  • Podcast artwork upload.
  • Podcast category selection and basic SEO optimisation.
  • Launch readiness review.

The Pod Foundations package does not include podcast episode editing, branding, artwork design, music licensing, content creation, ongoing platform management or episode publishing unless otherwise agreed in writing.

2. Client Responsibilities

To enable Nova X to complete your podcast setup, you agree to provide:

  • Your podcast title.
  • Podcast description (or request Nova X to prepare one).
  • Final podcast artwork.
  • Brand assets where applicable.
  • Any required logos, colours or website links.
  • Access to relevant podcast platforms, or invite Nova X as a user where available.
  • Any additional information reasonably required to complete your podcast setup.

Delays in providing required information or approvals may impact project timeframes.

3. Platform Setup

Nova X currently supports podcast setup across platforms including:

  • Spotify
  • Apple Podcasts
  • YouTube

Additional podcast directories may be configured where requested and supported.

Platform functionality, approval processes and features are controlled by each provider and may change without notice.

4. Account Ownership

All podcast accounts remain the property of the client.

Where possible, Nova X recommends being granted user access rather than sharing passwords.

Clients remain responsible for account ownership, billing details, login credentials and ongoing account security.

5. Third-Party Platforms

Nova X will professionally configure and submit your podcast to supported platforms included within your selected package.

Nova X cannot guarantee:

  • Platform approval timeframes.
  • Acceptance by Spotify, Apple Podcasts, YouTube or any other podcast directory.
  • Changes to third-party platform requirements or functionality.
  • Service interruptions or technical issues affecting external platforms.

6. Client Approval

The client is responsible for reviewing and approving all information supplied before publication, including:

  • Podcast title.
  • Description.
  • Artwork.
  • Categories.
  • Author information.
  • Website and social media links.

Nova X is not responsible for errors once client approval has been provided.

7. Additional Services

The Pod Foundations package covers the initial podcast setup only.

The following services are available separately and are not included unless specified in your proposal or package:

  • Podcast episode editing.
  • Intro and outro production.
  • Podcast Concierge services.
  • Pod Content packages.
  • Additional platform configuration.
  • Ongoing publishing and scheduling.
  • Future profile updates or maintenance.

8. Turnaround Time

Nova X aims to complete the Pod Foundations setup within 3 to 5 business days from receipt of:

  • Payment.
  • Completed onboarding information.
  • Required brand assets.
  • Platform access.

Approval by third-party podcast platforms may require additional processing time.

9. Payment

Invoices are payable prior to commencement unless otherwise agreed in writing.

Work will commence once payment has been received and all required information has been supplied.

10. Intellectual Property

All podcast recordings, artwork, branding and associated intellectual property remain the property of the client.

Upon completion of the Pod Foundations package, all configured podcast platforms remain under the client's ownership.

Unless otherwise requested in writing, Nova X may reference the completed podcast within its portfolio and marketing materials.

11. Limitation of Liability

Nova X will exercise reasonable care and professional skill in delivering all services.

Nova X is not liable for:

  • Delays caused by third-party podcast platforms.
  • Platform policy changes.
  • Copyright or trademark issues relating to client-supplied material.
  • Inaccurate information supplied by the client.
  • Technical issues outside Nova X's control.

12. Cancellation

Should a project be cancelled after work has commenced, Nova X reserves the right to invoice for work completed up to the date of cancellation.

13. Acceptance

By engaging Nova X Solutions or submitting a Pod Foundations Brief, you confirm that you have read, understood and agree to these Terms of Engagement.
